Letter heads

Letter Heads are Microsoft Word .dotx files which can be used to add consistent layouts, headings and footers across Document Templates.


Creating a Letter Head Template

To create a Letter Head Template, follow the below steps:

  1. Enter Settings.
  2. Click Documents.
  3. Click the Letter Heads tab.
  4. To add a new Letter Head Template, click + Document. Enter a name, then click Save.
  5. To upload a .dotx file to the Letter Head Template, click Upload (upward-facing arrow), then locate the file on your PC.

To rename the Letter Head Template, click Edit (pencil symbol). After amendments have been made, click Save.

To download the uploaded file, click Download (downward-facing arrow).

To delete the Letter Head Template, click Delete (X symbol), then click Yes to confirm your choice.

Updating an existing Letter Head

If you already have a Letter Head and wish to update this then please follow the instructions below:

  1. Enter Settings.
  2. Click Documents.
  3. Click the Letter Heads tab.
  4. Find the Letter Head currently being used by your Letters
  5. Click on the download button
  6. Make your changes to the downloaded letter head and save.
  7. Click the upload arrow (pointing up)
  8. Find the Letter Head and replace by double clicking on the new one

Troubleshooting

If the Letter Head Template is not correctly displaying or is causing problems with the associated Document Template, refer to the following guidance;

  • Remove blank space from page one, as this can cause unnecessary spacing to appear at the beginning of the document.
  • If any images have been used, ensure their layout is Tight.
  • If text from a Document Template should display next to an image from the Letter Head Template, ensure the image is correctly cropped.
  • Ensure a Letter Head's margin sizes match those of the Document Template.
